Who we are
Holmfirth Cycling Club ("HCC", "we", "us") is a voluntary cycling club based in the Holme Valley, West Yorkshire. We operate this website at holmfirth.cc and a members-only portal at members.holmfirth.cc.
We are not required to appoint a Data Protection Officer, but any data queries can be directed to us via the contact page or by email at privacy@holmfirthcc.com.
What data we collect and why
Website visitors (holmfirth.cc)
If you simply browse the public website, we do not collect any personally identifiable information without your consent. If you choose to accept analytics cookies, the third-party services listed below may collect anonymised usage data.
Trial ride sign-ups
When you register for a trial ride we collect your first name, last name, and email address. This is used solely to confirm your place and contact you about the ride. We do not add you to any mailing list without separate consent.
Members (members.holmfirth.cc)
As part of membership we collect and store: name, email address, date of birth, address, emergency contact details, and British Cycling or Cycling UK membership number where applicable. This information is required to administer club membership, process payments, and comply with our affiliation obligations.
Sensitive fields (name, address, date of birth, emergency contact) are stored encrypted at rest using AES-256-GCM. Payment processing is handled by GoCardless; we do not store bank details.

Local storage
We store your cookie preference in your browser's localStorage under the key hcc_consent. This is not a cookie and is not sent to our servers — it exists purely to remember your preference between visits.
How we use your data
- To administer club membership and process renewals
- To communicate with you about rides, events, and club news
- To comply with our obligations to British Cycling, Cycling UK, and other affiliating bodies
- To improve the website using anonymised analytics (only with your consent)
We do not sell, rent, or trade your personal data with third parties. We do not send marketing emails to non-members.
Data retention
Membership records are retained for the duration of your membership and for a period of up to three years thereafter, in line with our affiliation requirements. Trial ride sign-up data is deleted after 90 days if no membership follows.
Your rights
Under UK GDPR you have the right to: access the data we hold about you; correct inaccurate data; request deletion of your data (subject to our legal obligations); object to or restrict certain processing; and withdraw consent at any time.

You can also clear all stored preferences by opening your browser's developer tools, going to Application → Local Storage, and deleting the hcc_consent entry. The consent banner will reappear on your next visit.

We may update this policy from time to time. The date at the top of this page reflects when it was last revised. Continued use of the site after a change constitutes acceptance of the revised policy.
